Chapter 06

Time tracking and timesheets

Run timers, log manual entries, and review weekly timesheets.

Why time tracking matters here

ProMan treats time as a first-class citizen. Hours logged feed timesheets, project cost reports, and the billable-hours export for your accountant. And because time is attached to tasks, you never have to reconstruct what you were working on.

Time tracking is available on Plus and above. Free accounts can see the tracker but can’t save entries.

Starting a timer

From anywhere in the app, click the timer widget in the header. Pick a task from the dropdown — recently worked tasks appear first. Click Start and the timer begins ticking. The widget stays visible across page navigations so you can move around without losing your clock.

The header timer widget — always visible while running.

When you’re done, click Stop. The entry is saved against the task with the start and end times, and the description field lets you add a note ("debugging staging auth redirect").

Idle detection

If you walk away from the computer for more than ten minutes, ProMan notices. When you come back, a dialog asks:

  • Keep the time (you were thinking, not away)
  • Discard the idle time (adjusts the log to when you last interacted)
  • Resolve later (decide from the timesheet view)

You can turn idle detection off or change the threshold in Settings → Profile → Work preferences.

Manual entries

Forgot to start the timer? Every task has a Log time action in its menu. Enter the duration (e.g. "45m", "1h 15m"), pick a date, add a note. Done.

You can also add manual entries directly from the timesheet view by clicking an empty cell in the day/task grid.

Your weekly timesheet

Tasks → Timesheet gives you a week-at-a-glance grid: tasks as rows, days as columns. Each cell shows total hours for that task that day. Click into a cell to see the individual entries, edit durations, or move an entry to a different task.

At the bottom of the grid: daily totals and the weekly total. The right rail shows a breakdown by project.

Submitting timesheets

If your organization requires timesheet approvals (Settings → Organization → Timesheets), your weekly grid has a Submit for approval button. Once submitted, you can’t edit the week without recalling it first. Your manager gets a notification and can approve or request changes.

Team timesheets (managers and admins)

Managers and admins see a Team timesheets report at Reports → Timesheets. Pick a week, a team, or a specific person. Export to CSV or XLSX for payroll or billing.

Cost and margin

If you’ve configured hourly cost rates for members (Settings → Members → Cost rate), logged hours automatically roll up into project cost reports. Bring in a budget and ProMan shows you margin in real time.

Free vs. paid

On the free tier the timer widget is visible but entries don’t save — we show it so you can see the feature, but actually tracking time needs Plus. The 14-day trial unlocks everything.
